1. Who We Are

Venue Solutions (venuesolutions.ie) operates a guest Wi-Fi and marketing platform for hospitality venues in Ireland. When you connect to a venue’s Wi-Fi using our portal, the venue is the data controller for your personal data and Venue Solutions acts as a data processor on the venue’s behalf.

This means the venue decides why and how your data is used for marketing. Venue Solutions only processes your data to deliver the service the venue has contracted us to provide.


2. What Personal Data We Collect

When you connect through a venue’s Wi-Fi portal we may collect:

We do not collect your name, date of birth, payment details, or browsing activity.


3. Legal Basis for Processing

We process your personal data on the basis of your freely given, specific, informed, and unambiguous consent (Article 6(1)(a) GDPR). The consent checkbox on the Wi-Fi portal is never pre-ticked. You provide consent by actively ticking the box before connecting.

You may withdraw your consent at any time without affecting the lawfulness of processing carried out before withdrawal.


4. How Your Data Is Used

Your data is never sold to third parties or used for purposes other than those listed above.


5. Marketing Messages

Marketing messages are sent by the venue using the contact channel you provided (WhatsApp, SMS, or email). Message frequency varies by venue. You can opt out at any time — see Section 6.

Messages are delivered via Twilio (for WhatsApp and SMS) and Resend (for email), both of which are contracted data processors operating under appropriate data protection agreements.


6. How to Opt Out

You can withdraw consent and stop receiving marketing messages at any time by:

7. Data Sharing

Your data is shared only with the following parties, all of whom process data under appropriate legal agreements:

8. International Transfers

Some of our infrastructure providers (Twilio, Resend, Cloudflare) are based in the United States. Transfers to these providers are safeguarded by Standard Contractual Clauses (SCCs) approved by the European Commission, ensuring an adequate level of data protection.


9. Data Retention

Your data is retained for as long as you remain opted in to receive marketing from the venue, or as long as necessary to demonstrate consent for legal compliance purposes. Once you opt out, you will receive no further marketing messages. Consent records (including the date, time, and IP of consent) are retained for a minimum of 3 years to meet GDPR accountability obligations.

Device MAC addresses are used only during your Wi-Fi session and are not retained beyond the consent record.


10. Data Security

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, disclosure, alteration, or destruction. These include encryption in transit, access controls, and regular security reviews. Phone numbers and email addresses are masked in our staff-facing interfaces.


11. Your Rights Under GDPR

As a data subject in the EU/EEA or UK, you have the following rights:

The Wi-Fi portal page does not use tracking cookies. A session token is used solely to authorise your device on the network during your visit. This token is not used for analytics or advertising purposes.


14. Changes to This Policy

We may update this privacy policy from time to time. When we do, we will update the version number and date at the top of this page. Material changes will be communicated to venues, who are responsible for informing their guests. The version you consented to is recorded with your consent record.
